Job Description

Are you an experienced, detail-oriented professional looking to make a meaningful impact in the world of estate and trust administration? Our Downtown Cleveland law firm is seeking a highly organized and proactive Trust Administrator to join their collaborative Trusts & Estates team.

In this role, you will be a vital liaison between attorneys, clients, beneficiaries, and financial institutions, helping ensure the seamless administration of trusts from initiation through final distribution. You’ll manage critical tasks ranging from documentation coordination to financial reporting and support the fiduciary responsibilities of trustees with the highest standards of care.

Key Responsibilities

  • Coordinate with attorneys to prepare trust summaries and maintain accurate physical and digital records
  • Communicate with clients, beneficiaries, financial institutions, and other parties on trust-related matters
  • Collect asset and liability documentation and ensure proper valuation, titling, and cost basis tracking
  • Prepare and file key IRS forms (Form 56, SS-4, 2848), tax ID applications, trust notices, and certifications
  • Maintain detailed trust accounting in GEMS or FAS, including distribution schedules and annual reports
  • Coordinate trust distributions, trustee meetings, investment reviews, and tax-related deadlines
  • Oversee tangible personal property handling and coordinate property transfers
  • Assist with the setup and management of private foundations
  • Support the attorney with preparation of trustee documentation and ensure compliance with firm policies
  • Collaborate with Probate Paralegal, Tax Preparer, and other team members to meet all administrative deadlines

Qualifications

  • 3+ years of experience in trust or estate administration preferred
  • Strong working knowledge of trust documents, fiduciary accounting, and tax reporting (Forms 706, 709, 1041)
  • Exceptional organizational skills with strong attention to detail
  • Proficient in Microsoft Office Suite; experience with NetDocs, GEMS, FAS a plus
  • Ability to manage multiple deadlines and work effectively with various internal and external stakeholders
  • Professional and empathetic communication skills, both written and verbal
  • A strong commitment to client service and confidentiality
